Dispute Management Assessment
Disputes become expensive when they sit between functions. The customer may call it a pricing issue, sales may call it a deduction, operations may wait for proof, and finance may continue to age the invoice without a resolution path.
Separate the dispute from the undisputed cash
For each material case, identify the invoice value, amount genuinely disputed, amount not disputed, date first raised, evidence requested, owner and next decision. This prevents a small issue from freezing an entire receivable.
Classify by resolution mechanism
Commercial
Pricing, rebate, discount, scheme or contract interpretation issues usually need a documented commercial decision, not repeated collection calls.
Performance
Short supply, service deficiency, quality or milestone disputes require proof of delivery, acceptance, rectification or agreed adjustment.
Administrative
Tax, portal, purchase-order, invoice format and document mismatches should have short operational closure paths with clear evidence.
Measure ageing of the issue itself
Invoice ageing alone hides whether the dispute is moving. Track days since the last substantive action, pending evidence, decision owner and promised closure date. A case that is old but actively progressing is different from one that has been untouched for six weeks.
